Vertafore Automates Policy Processing With Two New Velocity AI Agents for Independent Agencies

Velocity Policy Intake Agent and Velocity Policy Check Agent help agencies accelerate critical workflows while improving data quality and reducing risk

DENVER – October 15, 2026 – Vertafore®, the leader in insurance distribution technology in the AI era, today announced the general availability of its VelocityTM Policy Intake Agent and Velocity Policy Check Agent to automate critical work across the policy lifecycle.

Today, two related processes can consume hours of agency capacity: getting complete policy information into the agency management system and checking issued policies to ensure they match what was intended.

Vertafore’s latest embedded AI innovations help independent agencies move from policy documents to trusted system data—and from issued policy to verified coverage—with significantly less manual work and data entry. Individually, each agent automates a time-consuming and error-prone process. Together, they create a connected flow from getting policy information into the management system to verifying that the policy issued by the carrier matches what was intended. The result is more complete, reliable policy data that can be put to work across downstream workflows—from servicing and remarketing to quoting and proposals.

Policy Intake Agent and Policy Check Agent build on Vertafore's vision for the Agentic Agency, to bring intelligent AI across agency workflows, from sales and submissions to servicing, accounting and business intelligence.

“Agencies depend on policy information every day, but not all of that information makes it into the management system where it can be readily put to use,” said James Thom, president and chief AI officer at Vertafore. “By changing that equation, these agents strengthen the AMS as a true system of record—putting more comprehensive, accurate data at an agency’s fingertips to service client needs today and support opportunities for organic growth tomorrow. That’s Distribution Velocity: removing friction so agencies can adapt faster and grow smarter.”

From policy documents to structured, usable data

Policy information can arrive from multiple sources and in a variety of formats, including PDFs, declarations pages, binders, quotes, applications, schedules, and spreadsheets. When that information is not available through carrier download, agency teams must interpret those documents and manually enter policy details into their management system. That repetitive process becomes increasingly time-consuming as policies grow more complex.

Velocity Policy Intake Agent automates that work by extracting information from policy documents, mapping the information to the appropriate fields in the agency management system, and identifying what is new, changed, missing or conflicting. The user reviews the proposed updates and determines what to approve. The AI agent then updates the agency’s management system and files the supporting documentation.

Policy Intake Agent is available now in Vertafore’s AgencyOne with AMS360® and is in early access for Sagitta®. In early adopter testing, the Policy Intake Agent reduced the time required to create and review a typical Commercial Property and General Liability package policy by up to 87%.

"Most of our farm policies don’t download, which has traditionally meant a lot of manual data entry for our team,” said Ali White, farm account manager at Accountable Insurance Partners. “We’re already seeing time savings with Policy Intake Agent. Having it take on so much of that manual work makes a huge difference and gives our team valuable time back.”

Beyond reducing data entry, complete, structured policy data creates a foundation for the work that follows. Information captured in the management system can be used across policy checking, servicing, endorsements, remarketing, quoting, and proposals instead of requiring teams to repeatedly return to source documents.

Faster policy checks, with insurance professionals in control

Once a carrier issues a policy, agencies need to verify that it matches what was intended for the insured. That can require teams to manually gather source materials, compare policy details, investigate discrepancies and document the outcome. Missed differences in coverage, limits, deductibles or other details can create client issues and increase an agency’s E&O exposure.

Velocity Policy Check Agent automates the comparison by reviewing the issued policy against management system data and supporting source documents. It surfaces when information doesn’t match and recommends corrections for the user to review and decide what to approve. The AI agent applies approved corrections, suspenses when needed and records the review history in the agency’s management system.

Policy Check Agent is available now in AMS360. Early testing shows the Policy Check Agent can reduce policy-checking time by up to 90% per line of business, helping to get policies to insureds sooner while maintaining a clear, auditable record of the review.

“Reviewing insurance policies has historically required a significant amount of manual effort, with team members comparing coverage details line by line to identify discrepancies and ensure accuracy,” said Crystal Meador, vice president of Business Development & Field Operations at Biltmore Insurance Services. “The ability to automate that process is transformative. It not only creates substantial time savings and consistency but also enables our teams to dedicate more energy to client strategy, risk consulting, and the personalized service that drives long-term relationships.”
